  • Quoting on a job, help required

    Hi
    I have to quote to fit graphics for a pretty large firm.

    The fitting of the graphics is easy, 15-20 mins max, it’s the logistics.

    300 vehicles over 10 depots ( north east)
    Fitting of the decals between 6pm and 6am only.
    50% will be outside.
    We will never know how many will be on site until we get there, if there are none at 1 depot we move on to another depot.

    How do I try to work that out, with pulling a crazy figure out of the air lol

    All suggestions greatly received xx

    We have a similar job, but 3 locations. We know the total number of vans, but have to travel to 2 locations, or they bring them to us if Manchester vans.

    Although we know how many should be there.

    We work out a price per van
    Then mileage per visit to site + toll road.
    We divide the travel between the vans and add it on.

    In your case put to them a unit cost per van, and travel cost to the nearest site (keep that fixed) then a cost from there to each depot (again fixed) over inflate travel to allow for unforseen circumstances.

    Also look at accommodation costs as you may save money by doing two days up there?

    Easy for you and the customer to work out the price and should incentive them to get as many vehicles as close as possible.

    As harsh (and silly) as it sounds, I’d probably be charging in the region of 450 vehicles as it seems like they are quite willing to have you wasting half your time "guessing" if vans will be at a depot or not.

    I would work out how many vans you may get through in one night and offer a favourable price for that many to be at an arranged depot then it’s not wasted nights. I’d be worried that depot one has no vehicles so on to depot 2 which has 1-2 vehicles so your then on to depot 3 and have no motivation to do anymore.

    We got caught out with a job similar to this (not as unorganised if I’m honest) and it just felt like we were busy fools. Half way through I’d had enough and we called their bluff about terminating unless they could organise themselves, suddenly it was quite easy for drivers to let the base know when they would be back and things went a bit smoother but never again.

    Get the foundations in place properly and it should be a good earner 🙂

    Quote separately to produce the graphics (this can be a unit cost) and a daily rate + travelling expenses for fitting (with a premium of course if you’re having to work overnight) that way if there’s no vehicles there – (or weather conditions prevent the work from being done) you still get paid for your time and travelling.
