  • Advice Provisional Bookings

Posted by David Hammond on January 20, 2016 at 7:31 pm

Had a scenario today with a member of the boards, and another customer, where yesterday I get a call from customer a, saying they have a job they’d like us to install, preferably Friday, subject to their client approving their quote.

Today I get a call to install another job for a member here, again on Friday.

I advise I need to speak to the first client who ‘thinks’ their job will be installed Friday, but hasn’t confirmed.

So I could end up with no job Friday.

My solution is to provisionally book in jobs for 24 hours, if they’re not confirmed then it’s automatically cancelled.

    Is 24 hours too short?

How would you deal with those customers who confirm an installation, then cancel at last minute? Cancellation fee?

Time is a very precious comodity and i’m determined to maximise it and reduce my blood pressure at the same time!

    Hi David
I think everyone has suffered this scenario at some point or another.
    I personally do the following.

Based on a first come first served basis, I will book in the first client to contact me, and if possible, try and re-schedule the second client to another day/time.
If the first client cancels 48hrs or less before time of install, then they get charged £150 cancellation fee. – And I will offer the time to the second/third/forth etc client.
Historically, if you have a job booked, then normally at least one other client will come to you and try and get an install so you will have turned work away. All my clients are fine with this arrangement and I rarely have a cencellation now.

Set up an e-mail template with the details of their installation, and advising that it needs to be confirmed in 24 hours, and cancellations with less than 48hrs notice incur a £100+VAT charge.

I’ll be rather annoyed if this job tomorrow doesn’t come off, as we’d have lost a day’s work :banghead:

It’s come as no surprise tomorrows install isnt going ahead, they’ve asked for Tuesday.

Despite during the initial enquiry asking about site inductions and CSCS card requirements, I was assured ot wasnt required. Now they are.

Going to rebrief the client, its our way or no way. 🙁
